JOB DESCRIPTION – BUSINESS ADMINISTRATOR
Salary Scales: £16,818 – £24,173 p.a. pro rata
Grade: Level 1 (Operations)
Hours of Work: Such hours as necessary to carry out your duties. This will involve a minimum of 22 hours per week (3 days) Monday -Wednesday and may include working outside normal office hours at evenings and weekends and on Public Holidays.
Location: The normal place of work is English Institute of Sport Sheffield, however the EIS may from time to time require you to travel to and work at other offices.

ROLE SUMMARY
The role involves providing efficient administrative, financial and project support to the staff at our EIS sites; and working as part of a multi-disciplinary team delivering services to athletes and coaches.
MAIN TASKS AND ACTIVITIES
- Provide general office support to the Operations Manager and Medical Administrator and other staff including answering phones, distributing post, word processing, scanning, setting up and maintaining excel spreadsheets, data input into databases, file management, diary management, drafting of letters, photocopying, faxing, travel arrangements, arranging meetings and taking minutes.
- Act as first point of contact for incoming queries. Record, filter, disseminate and communicate matters to staff, taking follow up action where appropriate.
- Establish and maintain efficient office administration procedures
- Ensure timely ordering of consumables and equipment required by practitioners.
- Provide administrative support to medical practitioners on site.
- Generate site data for relevant EIS databases.
- Input, update and maintain information regarding World Class athletes contained on the Performance Data Management System (PDMS).
- Support the Health & Safety Lead in the administration of the EIS Health & Safety Policy and Procedures, administration of general EIS Human Resources Policies and Procedures.
- Act as main point of contact to assist staff with local recruitment and induction processes.
- Support the National HR team, by implementing, administering and promoting consistent and clear HR processes in areas such as recruitment, induction, use of the Cascade HR system etc.
- Act as the main point of contact for the IT helpdesk in relation to major site IT faults, if required
- Support the National Finance and HR teams, drive consistency and help promote and disseminate good practice.
- Support the EIS Communications team with the national distribution of EIS Kit.
- Act as main point of contact for enquiries and compliance to Educare, the EIS provider of high-quality, concise and easy-to-use safeguarding and duty of care e-learning services.
- Any ad hoc duties as requested by management.
